"Promotion Codes Provide Targeted Discounts and Incentives to Select Attendees"


As the primary organizer of the 2006 HighEdWebDev Conference, Conference Co-Chair Steve Lewis needed a complete solution that would allow them to customize their registration page. In addition to taking advantage of Acteva’s many standard features – Quick & Easy Set Up, Plug & Play Payments and Secure Data Collection – Lewis was looking for distinct, customizable tools to provide discounts and incentives for attendees to register.

In particular, he needed a unique way to apply pre-selected discounts to speakers and presenters as a special incentive during registration for the annual conference. Lewis chose Acteva’s online registration solution to meet his needs. A deciding factor in the selection process was Acteva’s Promotion Code feature, which offered a means to provide customized discounts to select attendees for the 4-day conference.

Lewis made the decision to implement Promotion Codes so that key attendees such as conference presenters and workshop presenters could enter a code when registering to receive a discount or special offer as configured by Lewis. The discount can be a specific dollar amount off the list price – i.e. $100 off – or a percentage – i.e. 25% off. In the past they had a very rigid definition in terms of what they could use, such as a designated dollar amount, and the Promotion Code provided the option of using a percentage.

Also, different Promotion Codes were set up for Early Bird registrants if they registered by a certain date or when committee members choose to invite others on behalf of the Association. They needed a mechanism to charge different people different prices, without limiting other registration options or duplicating all the details of our event. The Promotion Code solution achieved the goal of rewarding those who contribute to the overall success of the conference. Using Acteva’s solution, the committee members and the presenters - the people who make the event happen - were able to register at a discounted rate.

Another benefit for event organizers is that Acteva’s Promotion Code capability is a complete self-service solution. Organizers can set rules, determine usage and define the parameters of the Promotion Code themselves. And the codes can be designated as one-time-use, meaning they can’t be shared or abused. Lewis can also track the success of the codes for future planning.

The Promotion Code feature contributed to what was already a comprehensive online registration solution, adding another benefit to reward attendees and encourage future attendance. The end result was that the Promotion Code tool exceeded their needs and their annual conference grew in attendance by more than 30% in 2006.

CHALLENGE:

Hanley Wood Exhibitions produces industry-leading conferences and exhibitions such as World of Concrete, Surfaces and the International Pool & Spa Expo. The Irving, TX-based company is a division of housing and construction media giant Hanley Wood LLC. Up until 2003, the company used a combination of products for functions such as customer relationship management, CAD-based floor plan management and website content management. This conglomeration of systems was not only costly but also failed to link customer data across events. Each show was treated as an individual entity, making it difficult to track histories across shows and products. Simply identifying the top 100 customers would take a labor-intensive two weeks. When data security became an issue, finding a way to secure and consolidate customer data in one cost-effective system became imperative.

SOLUTION:

Hanley Wood selected a2zShow Enterprise because the product's scalable architecture allowed it to accommodate the requirements of a multiple show organizer. The a2z system consolidated event management, floor planning, and inventory and financial management, as well as provided a platform for website content management. The implementation team converted sales to SalesLogix®, then integrated this application with a2zShow, so customer data is automatically synched and up to date. The six-month implementation process culminated in September 2004, when a2zShow went live in time to manage the 2005 International Roofing Expo. Each subsequent event rolled over to a2zShow, which now handles 15 events per year. In 2007, Hanley Wood implemented NetZone to connect people and generate additional revenue.

RESULTS:

The a2zShow system seamlessly integrates exhibition sales, marketing and management functions to provide data security, streamlined processes and cost savings across multiple shows. Reports that had been hand compiled are now automatically generated in seconds. The sales force can see complete customer histories and target market by industry, event and product. From the smallest show, with 60 exhibitors and 700 attendees, to the largest, with 1,800 exhibitors and 90,000 attendees, Hanley Wood has experienced measurable results in nearly every functional area since implementing a2zShow Enterprise:
