Exhibitor: nTAG

Problem:
Lucent was organizing their annual supplier conference, “C2: Connecting at the Speed of Light,” bringing 200 of Lucent's top suppliers together with 100 top Lucent executives. For the event to be a success, they needed to build bridges between suppliers and key Lucent executives, educate suppliers on Lucent's policies and products, and enable Lucent to learn from its suppliers. They also needed to be sure the event ran smoothly and that all the participants had a good time.

Solution:
To ensure that executives and suppliers connected, Lucent used the nTAG networking applications including ice breakers and electronic card exchange. The tags recorded interactions and also let the attendees make notes on the people they met. At the end of the event, the nTAG system delivered all the information each person collected to their personal “my.nTAG” web page. From there, they could download it directly into their contact management program.A follow-up survey showed that over 80% of the attendees favored the nTAGs for exchanging business cards and 70% said they were better able to connect with others because of the nTAGs.

nTAGs also helped Lucent and its suppliers learn from each other. The nTAG survey system made it easy for Lucent to gather information from its suppliers. Next, a knowledge quiz that attendees answered on the nTAGs tested suppliers' familiarity with Lucent policies and products. Almost 95% of the attendees said they preferred the nTAGs to paper survey forms.

nTAGs were also used to help make the event more efficient and fun. nTAG's Payout game encouraged attendees to fully participate. The badges automatically recorded points for attendees when they accomplished a task such as going to a session, completing a survey, or visiting an exhibit booth. Finally, each attendee's nTAG carried a personalized, electronic copy of the agenda so they always knew where they had to be next. And when the agenda changed, Lucent was able to update every copy in moments. Three quarters of the attendees agreed that the nTAG games made C2 more fun and effective, and over 90% said they loved the electronic agendas. The nTAG system was a major contributor to the overall success of C2.

Problem:
Everyone is in search of a better registration system - but for corporate-mandated meetings, is one even necessary at all? Not necessarily, if all information necessary for an individual’s registration is provided to a designated travel agency when air travel is booked. inVentiv, which provides staff-leasing services to pharmaceutical firms, needed a simplified registration process for the mandatory training meetings attended by such personnel, for whom there is not even any information in an existing registration database.

Solution:
By deploying eMeetingExperts’ ePlanner program, inVentiv actually was able to virtually eliminate the need for registration. The registration data needed is extracted from e-itineraries created by the company’s travel agency when the personnel booked their air travel for the meeting. The travel agency was required to ask three additional questions when booking the air travel: (1) badge name, (2) smoking preference, and (3) special needs/requests. This information was entered into the body of the itinerary. Each itinerary was mailed to the meeting planner and stored in an Outlook folder. ePlanner opened and imported the necessary data from the e-itinerary. Check-in and check-out dates were based on the air travel dates. Attendees received a copy of their attendee record in ePlanner, allowing them to report or request changes.

Mass communication for the final detail letter to all attendees was also facilitated throughePlanner with a simple “send email to all attendees” (with attachment) or Send Attendee Record which includes all Attendee Data as well as their individual Personal Agenda™.

Exhibitor: Exposoft Solutions

Problem:
Our client’s challenge was to create a complete registration system that could handle registrations for attendees and exhibitor booth staff. The client wanted to have the registration form pre-populated with the attendee’s demographic information, which would determine the pricing group they would fit in based on their status and to increase efficiency of the registration process. The client was also offering multiple sessions that the attendees are required to register for to obtain credits, a system that could handle table seating for an event dinner as well as Onsite services for registration, badging, tickets and lead retrieval.

Solution:
Exposoft’s solution was to design a tailored event management system based on our client’s needs encompassing their look and feel to pre-register attendees and exhibitors including Session Management, Table Seating and Badging.

Exposoft provided:
Online pre-registration forms with pre-populated demographic information for quicker and efficient registration. The attendees had the option to choose their sessions online and pay for it through our ecommerce module. The sessions that the attendees registered for were tracked onsite in order to determine credits being earned. Table seating for the dinner was provided online enabling delegates to choose where they wanted to sit at the event. Onsite services included rapid registration allowing attendees to self-register at the provided terminals and having there credentials printed within minutes. Lead Retrieval units were rented to the exhibitors so they could collect attendee information. The units were also used for session tracking. Badges and tickets were printed onsite for attendees which amounted to 3,500 attendees.
